Process assessment · Two weeks, fixed price

Find out where your team's week actually goes.

Your ERP, CRM and service desk already log every order, invoice, deal and ticket with a timestamp at each step. In two weeks we turn those logs into a map of where work waits and where someone retypes it, with hours and dollars attached.

Fixed price. You keep the findings even if you don't hire us.

A process assessment is a short, evidence-based review of how work actually moves through a business: where it waits, where it is retyped and what each step costs. Ours reads the event logs your ERP, CRM and service desk already keep, the same data process mining uses, and ends with a ranked list of what to automate first, with hours, dollars and a fixed price for the first build.

Microsoft Power Automate Process Mining needs only three fields per event to rebuild a process: a case ID, an activity and a timestamp. Most ERPs record all three, though some tables keep only the current state and need joining.
Why start here

The work you see isn't the work that costs.

Most teams can point at the symptoms. The logs show what's underneath, and that's where the first project should go.

What you see

Late orders, a slow month-end and a team that's always busy.

What's underneath

Work waiting between systems, and the same data typed in twice.

  • Orders keyed line by linePDF and email orders typed into the ERP by hand.
  • Cash sitting unappliedPayments in the bank, invoices still open in the ERP.
  • Deals retyped from the CRMA closed deal becomes an ERP order the slow way.
  • Tickets that are really sync failuresIT closes the same integration error every week.

The logs already know where the time goes.

Every invoice, order, deal and ticket has a timestamp at each step. We read them, so the answer comes from your data, not from a workshop.

What we read

Read-only access. Real data.

No surveys and no sticky notes on a wall. We read what your systems already record and talk to the people who do the work.

The evidence

Your logs, not a questionnaire.

Read in order, the timestamps show exactly where work waits and where someone types the same thing twice.

ERP history

Orders, invoices, receipts and payments, with the timestamp at every step.

CRM

Deals, quotes and the moment each one turned into an order.

Service desk

Tickets, categories and resolution times, including the integration errors.

Short conversations to explain what the logs can't.

What you get

A ranked list, with hours and dollars attached.

Guessing usually picks the wrong first project. The list tells you whether it's an agent, an automation or a system that needs replacing.

  • A map of how work really moves, from first touch to the last posting
  • Where work waits, and where someone retypes the same data
  • What to fix first, ranked by hours and dollars
  • Whether each fix is an agent, an automation or a system to replace
  • A fixed price for the first build

Defaults: $46.89 an hour is the US Bureau of Labor Statistics average total compensation per hour worked, private industry, June 2026. The share an agent or flow can take varies by process, so the assessment measures it from your logs instead of assuming it. Hours are counted over 48 working weeks a year; one full-time person is taken as 1,800 productive hours.

Process mining requires a case ID, an activity and a timestamp per event (Microsoft Learn). Power Automate Premium includes process and task mining with 50 MB of process-mining storage per licence.

Seven companies, four payment channels, one approval queue

A services group in Hong Kong runs seven companies. Customers paid by cheque, bank transfer, payment gateway and WhatsApp, and the AR team sorted every payment by hand.

Now an agent reads each payment, finds the company and customer, matches the invoice and checks for duplicates. The AR team approves every posting.

FAQ

Questions about the assessment.

What do I get from an automation assessment?

A map of how your processes really run, built from your logs; where work waits and gets retyped; an hours ledger priced at loaded cost; a ranked list of what to fix first with hours, dollars and payback; whether each fix is an agent, a flow or a system change; and a fixed price for the first build. You keep it all.

How do I calculate automation ROI?

Hours freed a year is case volume times touch minutes per case divided by 60, times the share that can be automated. Multiply by loaded hourly cost and add hard savings like avoided rework, then subtract running costs. Payback in months is build cost divided by monthly net benefit. The calculator above gives a first estimate.

How is a business process assessment done?

We take read-only access to your ERP, CRM and service desk logs, rebuild each process from its timestamps, find where it waits and where it is retyped, walk the map through with the people who do the work, and rank the fixes. It takes two weeks.

How do I know if my company is ready for AI agents?

Look for a clear owner and a measurable goal, a process that is stable enough to describe, data the agent can reach through supported access, someone to approve its work, and a baseline to measure against. Gartner predicts 60% of AI projects without AI-ready data will be abandoned through 2026, so the assessment checks the data first.

What are the best AI use cases in finance?

In our view, ranked by typical payback: supplier invoice capture and matching, collections and dispute triage, cash application, bank and account reconciliations, and duplicate-payment detection. Gartner's 2025 survey found AP automation among the top finance AI uses. Forecasting gets a lot of pilots but pays back more slowly.

How do I choose a partner for process automation?

Ask for a fixed price, read-only access, a baseline measured from your own data, a ranked list with payback, and a recommendation that isn't tied to one tool. MIT's research found AI projects bought from or built with partners reached deployment about 67% of the time, and internal builds about a third as often (MIT NANDA, 2025).

What access do you need?

Read-only access to the logs and reports your ERP, CRM and service desk already keep. We don't install anything or change any settings.

What if we don't hire you afterwards?

You keep the findings: the map, the ranked list and the evidence behind each row. Use them with your own team or another partner.
