Cash application case study · AI agent · Hong Kong

Seven companies, four payment channels, one approval queue.

A Hong Kong services group runs seven companies. Its customers pay by cheque, bank transfer, payment gateway and WhatsApp, sometimes as a photo of a payment slip or a voice note. The AR team used to sort every payment by hand. Now an AI agent reads each one, works out the company and customer, matches the invoices and checks for duplicates, and the AR team approves every posting.

Client approval for this case study is covered by our agreement with them.

How it works

Every channel in, one queue out.

The agent never posts on its own. It prepares each posting with its reasoning and the source attached, and a person on the AR team says yes.

Every decision is logged: what the agent read, what it matched, what it flagged, and who approved the posting.
Why it worked

Three choices that made the difference.

A person approves everything

The AR team kept control of every posting from day one, which is why they trusted the agent.

Channels as they are

Customers weren't asked to change how they pay. The agent reads what arrives, WhatsApp included.

Duplicates checked first

With four channels, the same payment can arrive twice. The bank log check stops it posting twice.

FAQ

About this project.

What does the cash application agent do?

It reads each payment, including WhatsApp photos of payment slips, works out which of seven companies and which customer it belongs to, matches the invoices and checks the bank log for duplicates.

Does the agent post payments by itself?

No. It prepares each posting with its reasoning and the source attached, and a person on the AR team approves it.

Which payment channels does it handle?

Cheques, bank transfers, a payment gateway and WhatsApp messages, as customers already send them.
