DefinitionUnapplied cashnoun · accounts receivable
Also calledUnidentified cashUnmatched receiptsOn-account cash

Unapplied cash is money a customer has paid that sits in your bank and your ERP but hasn't been matched to the invoices it pays. Until it's applied, those invoices still look open: the aging report is wrong, collectors chase customers who have paid, credit holds stay on and DSO looks worse than it is. Most finance teams can't say exactly how much they have, which is why it's the first number we measure.

The Hackett Group puts the median auto-match rate for cash application at 70%, so on average 30% of payments still need a person to match them.
What we measure

Five numbers your CFO will ask about.

Each one comes from your own ledger and bank files, with the evidence behind it.

Unapplied cash, by age

How much, how old and which customers. The number most teams don't know.

Your real match rate

The share of payments matched first time, against Hackett's 70% median.

Why payments don't match

Ranked by value: separate remittances, short pays, lump sums, parent-company payers.

Where the hours go

Time your team spends keying remittances, chasing paid invoices and fixing postings.

DSO, CEI and days delinquent

With unapplied cash taken out, so you see the real collection picture.

A fixed-price plan

What to fix first, whether it's an agent, a process change or data, and what it costs.

The two weeks

Ten working days, start to finish.

A kick-off, read-only access, two short sessions with your AR team and a read-out with your controller.

FAQ

Questions about the AR Cash Assessment.

What happens in an accounts receivable assessment?

Ours takes two weeks at a fixed price. With read-only access we read your AR ledger, two months of remittances and bank files, and your posting rules. You get your unapplied cash figure, your real match rate, the top reasons payments don't match, where the team's hours go, and a fixed-price plan.

How much is unapplied cash costing my company?

Three ways: the carrying cost of cash you've received but can't use, the hours spent matching and chasing, and DSO that looks worse than it is because paid invoices still show as open. The assessment sizes all three from your data.

How do I clear unapplied cash before month-end close?

Get the remittance details for every unmatched payment, apply partial payments with a short-pay reason instead of leaving them on account, set up parent-company relationships for customers who pay for others, and work the oldest and largest items first.

What access do you need?

Read-only access to the AR module, exports of open AR and receipts, and two months of bank and remittance files. We don't install anything or change any settings.

What does it cost?

A fixed price, agreed on a 30-minute scoping call once we know your ERP, the number of entities and your payment channels.

What if we don't hire you afterwards?

You keep the report and the evidence behind every number. Use it with your own team or another partner.

Do you know your unapplied cash figure?

Most finance leaders we talk to can't say. That's the first thing we measure.
