CloudCheckIn by QServices (“we,” “our,” or “us”) respects your privacy and is committed to protecting your personal data. This Privacy Policy explains how we collect, use, store, and protect information when you use our CloudCheckIn mobile and web applications (the “Services”), which may be hosted on Microsoft Azure or other cloud infrastructure.
By using CloudCheckIn, you agree to this Privacy Policy.

Information We Collect

We collect only the data necessary to provide secure check-in, attendance, and compliance features.
Personal Information
  • Full name
  • Email address
  • National Insurance (NI) or employee ID
  • Profile photograph
  • Facial recognition data (biometric template)
  • Contact details (if provided by employer)
Location Data
  • Real-time GPS coordinates for check-in/out validation
  • Site geofence information (to confirm presence at assigned location)
Device Information
  • Device ID, OS type, app version, and network status (for security and diagnostics)
Usage Data
  • Log-in times, check-in/out history, timesheet activity
  • IP address and activity logs within the application

How We Use Your Information

Your data is processed solely to deliver and improve the CloudCheckin service:

We do not sell or share personal data for marketing or advertising.

Data Storage & Retention

  • Data is stored securely on Microsoft Azure Cloud (US/AUS/EU/India etc. region as applicable).
  • Facial recognition templates are stored in encrypted format using Azure Cognitive Services Face API.
  • Location and attendance logs are retained for up to 24 months (or as required by employer policy).
  • Once the retention period ends, data is permanently deleted from all systems and backups.

Data Sharing & Access

We only share data under strict conditions:

  • Employer/Organization: Authorized administrators can access employee data for operational and compliance purposes.
  • Service Providers: Microsoft Azure and other subprocessors necessary to operate the app (under GDPR-compliant Data Processing Agreements).
  • Legal Authorities: Only when required by law or government request.
No third-party advertising or analytics SDKs are embedded in the app.
 

Security Measures

We apply multiple layers of security consistent with Microsoft and ISO 27001 best practices:

  • AES-256 encryption for data at rest
  • HTTPS/TLS 1.2+ for data in transit
  • Role-based access control and multi-factor authentication for admin access
  • Continuous monitoring via Azure Security Center
  • Periodic vulnerability assessments and audits

Your Rights (Under GDPR and Other Regulations)

Users can:
  • Access and review their personal data
  • Request correction or deletion
  • Withdraw consent (where applicable)
  • Request data portability
  • File a complaint with a Data Protection Authority

CloudCheckin is intended for professional/employment use only. It is not designed for individuals under 16 years of age.

International Data Transfers

All data is processed in accordance with applicable data protection laws. Cross-border transfers (if any) comply with Standard Contractual Clauses (SCCs) or equivalent mechanisms.

Changes to this Policy

We may update this Privacy Policy periodically. Updated versions will be published on our website and within the application. Continued use of the product after updates constitutes acceptance of the revised terms.
