Won deal to sales order
A deal is marked won in the CRM
A sales order is created in the ERP after a credit check
Stop being the integration.
Workflow automation connects your ERP to the CRM, bank, EDI partners, web store and 3PL so data moves on its own, checked and logged, instead of being retyped. QServices builds those flows with Power Automate and Azure Logic Apps, and adds AI agents only where the input is messy.
Built in your Microsoft tenant, on the licences you may already own.
Workflow automation is software that moves data and tasks between systems by fixed rules: when an order arrives, create it in the ERP; when a payment run finishes, send the bank file; when a quote is over the margin limit, ask a manager. It's predictable and cheap to run. RPA does the same through the screen when there's no API, and an AI agent steps in only when the input needs reading and judgment.
Microsoft describes RPA as the route for apps "lacking a prebuilt connector and which don't have APIs", and gives data entry on an ERP as its example.Click a system to see the flows we build to it most often.
With a credit check before the order is created.
AR status on the account, so reps know before they quote.
One customer record, matched on a shared ID.
BAI2, ISO 20022 or bank feeds, matched to open invoices.
NACHA and positive pay files over SFTP, with remittance emails.
Stripe and Shopify Payments payouts broken into charges, refunds and fees.
Validated, created as an ERP order and acknowledged.
Built from ERP shipments for each trading partner.
Failed acknowledgements land with a person, with a suggested fix.
From webhooks, checked for duplicates, reconciled nightly.
Available-to-promise pushed every 15 minutes.
Returns in the store become RMAs and credits in the ERP.
By EDI 940, API or file, whichever your 3PL takes.
945 or API confirmations update the ERP and the store.
Daily stock from the 3PL reconciled to the ERP.
Read by an agent, checked by a person, created in the ERP.
Extracted, matched to PO and receipt, sent for approval.
Read and matched so cash can be applied.
Business Central has Microsoft's own Shopify connector. For other ERPs we use webhooks, APIs or the on-premises data gateway.
Microsoft positions Power Automate for business users automating their own work, and Logic Apps for developers and IT building enterprise integrations. A Power Automate flow can call a Logic App, so most clients end up with both.
| Power Automate | Logic Apps Standard | Desktop flows (RPA) | |
|---|---|---|---|
| Best for | Approvals, Teams and Outlook flows that the business owns | Order, EDI and bank pipelines that must never drop a message | Old apps with no API or connector |
| How you pay | $15 a user a month (Premium) or $150 a month per flow or bot (Process) | Fixed hosting from about $175 a month, built-in steps included | $150 to $215 a bot a month |
| Volume | 40,000 requests a day per Premium user, with per-flow limits during Microsoft's transition | Large scale and high throughput | One screen at a time |
| EDI (X12, AS2) | No X12 connector | Yes, with an integration account | No |
| Network | On-premises data gateway | Private networking and hybrid hosting | Runs on a Windows machine |
| Watch for | Premium connectors: the owner needs Premium; for instant flows, so does everyone who runs them | On Consumption, retries are billed as executions | Breaks when the screen changes |

Fixed price per phase. Every flow is logged, monitored and reconciled, so a failure reaches a person before it reaches finance.
We map every place data is retyped between systems and rank the flows by hours saved. See the process assessment.
Your team signs off what each flow does, what counts as an exception and who gets it.
Power Automate for approvals and team flows, Logic Apps for pipelines, an agent only for messy input.
Duplicate checks, retries, a queue for anything that can't post, and a nightly reconciliation.
Your team checks a week of real orders, invoices or payments before switching off the manual way.
Licences are separate and listed above. You get a fixed price per phase after the assessment.
Two parts. Licences: Power Automate Premium lists at $15 a user a month and a Process licence at $150 a month per flow or bot, while Logic Apps Standard hosting starts around $175 a month in Microsoft's examples. Build: a single integration usually takes 2 to 4 weeks, and we fix the price per phase after a two-week assessment.
Power Automate for approvals and flows the business owns, especially around Teams and Outlook. Logic Apps Standard for high-volume order, EDI and bank pipelines that must not drop a message. They work together: a Power Automate flow can call a Logic App.
Workflow automation moves structured data between systems through APIs by fixed rules. RPA does the same through the screen when there's no API, and breaks when the screen changes. An AI agent reads unstructured input like emails and PDFs and decides the next step, so it needs guardrails and a person approving anything that matters.
On Business Central, start with Microsoft's own Shopify connector. For other ERPs, subscribe to Shopify's order and refund webhooks, verify each one, block duplicates, create the order in the ERP and push stock and tracking back. Run a nightly reconciliation too, because Shopify says webhook delivery isn't always guaranteed.
Won deals becoming sales orders, web orders reaching the ERP, EDI orders acknowledged automatically, bank statements matched to invoices, payment files sent to the bank, supplier invoices routed for approval and month-end checklists that chase themselves. The gallery above lists 20.
