Our team works from India on IST (UTC+5:30). Berlin runs on CET in winter (UTC+1) and CEST in summer (UTC+2), which puts us three-and-a-half to four-and-a-half hours ahead. In practice, Berlin's morning from 9 AM to 1 PM CET falls entirely within our afternoon. We schedule the daily standup at 9:30 AM CET, which lands at 3 PM IST in winter and 2 PM IST in summer, a workable slot for both sides without early starts or late finishes for either party.
Day-to-day, we keep a shared Slack channel open during the overlap window and use Microsoft Teams for sprint reviews and demos. Code reviews are prepared overnight Berlin time and are ready when the client opens their laptop in the morning. Async status updates go out at the close of our day so Berlin has a written summary before their afternoon.
For milestone reviews at end of scoping, end of sprint 2, and pre-launch, we run extended two-hour sessions on Teams. On-site visits to Berlin are available for significant milestones on larger engagements, arranged on request. Routine delivery does not require them.
On data residency: we configure Copilot Studio against Azure OpenAI instances in EU regions, specifically West Europe (Netherlands) or Germany North (Hamburg), which keeps all processed data within the EU and satisfies the GDPR cross-border transfer restrictions that apply to German clients.
